Sound package rental checklist

Recorder, mics, wireless, boom, timecode, headphones, power and expendables — with quantity and out/in check boxes.

The sound package rental checklist splits items into eight areas — recorder and mixer, microphones, wireless, boom and wind protection, timecode and sync, headphones and monitoring, power and cables, and expendables — each with quantity, out check, in check and notes. Lavs, transmitters and cards get one line each by number.

The Excel file includes Example and Guide sheets next to the blank form. How to fill it in

How to fill it in

What it is for

The sound package checklist confirms every piece of sound gear from the rental house by item and quantity, and the same sheet is used on return to make sure nothing is missing. The sound department fills it in; production uses it to settle rental fees and loss responsibility.

When to use it

On pickup, go line by line with the rental house contact and fill in Out; on return, fill in In on the same sheet. Add gear rented later or returned early to the same sheet.

Field by field

  • Rental house / contact

    What
Where the gear came from and the contact there
    How
Company and contact name — the person to call when something goes wrong.
    Example
○○ Sound Rentals · Hansol Lee
  • Out date / return due

    What
    Pickup date and return date
    How
Same dates as the rental agreement. If the return date moves, add the new date beside it.
    Example
    2026-11-03 / 2026-12-20
  • Out by / returned by / contact

    What
Who picked up, who returned, and a number
    How
Fill in the pickup person on day one and the returner on return; once if it is the same person.
    Example
    Seojin Yoon, mixer · 010-0000-0000
  • Area

    What
    Gear group
    How
Leave the printed groups as they are; for new lines in the blank rows, write a group such as “Added”.
    Example
    Added
  • Item

    What
    Gear name
    How
Use the printed items; anything not listed goes in the blank rows. Add numbers for numbered gear such as lavs, transmitters and cards.
    Example
    Rain cover (recorder)
  • Qty

    What
    How many you received
    How
A number. For cables and boom poles of different lengths, split the count by length in notes.
    Example
    5
  • Out

    What
    Checked on pickup
    How
Power it on, confirm the count, then fill ■. Note any fault or damage and take a photo.
    Example
    ■
  • In

    What
    Checked on return
    How
Check count and condition with the rental house and fill ■. Leave missing items blank with a reason in notes.
    Example
    ■
  • Notes

    What
    Numbers, lengths, condition, circumstances
    How
Short: transmitter channels, cable lengths, damage on arrival, early return dates.
    Example
Nos. 1–5 · see channel sheet

Tips

  • On pickup, power up every transmitter and receiver, set channels, and keep a channel sheet in the sound bag.
  • Photograph any damage at pickup and send it to the rental house so there is no argument on return.
  • Swap transmitter batteries during breaks such as meals and log the time on the battery change log.
  • Always switch fridges and air conditioning back on before wrap — it avoids trouble with the location owner.

Common mistakes

  • Writing lavs or transmitters as just “5”, so when one goes missing nobody knows which number.
  • Not noting cable lengths, so the wrong lengths go back on return.
  • Leaving gear rented mid-shoot off the sheet, then forgetting to return it.
  • Not recording damage at pickup and paying for the repair on return.

FAQ

How is this different from the camera package checklist?

The table is the same (quantity, out, in); only the items are sound kit. Use both to check each department’s gear at pickup and return.
