Rental return checklist

From backup checks to small parts, damage records, late fees and deposit release.

The rental return checklist covers before return (format only after two backups, count, small parts, charging, cleaning), at the counter (joint check, damage photos and signature, return time) and after (final invoice, deposit release, budget actuals), plus an item return log.

The Excel file includes Example and Guide sheets next to the blank form. How to fill it in

What's inside

Before return

  • Format cards and SSDs only after confirming two backups
  • Count everything against the rental order
  • Small parts — lens and body caps, filters, adapters
  • Batteries charged as required; cables coiled
  • Repack cases; remove tape and labels
  • Clean dirt, sand or moisture (tell the rental house in advance if needed)

At the counter

  • Function and cosmetic check with the rental tech
  • Record damage or missing items with photos; get a signature
  • Log the return time — check late-return charges
  • For damage, confirm insurance handling and deductible

After return

  • Match the final invoice (extensions, damage, expendables) to the agreement
  • Confirm deposit or card hold released
  • Post the equipment cost to budget actuals

How to fill it in

What it is for

The rental return checklist walks through data, counts, condition and billing in order when you give rented gear back. The top table is what to do before, at and after the return; the bottom table records each item’s condition out and in. What you record at return is often the only evidence in a dispute over late fees or damage.

When to use it

Start the “Before return” items the day before, and fill in the item table at the rental counter together with the rental tech. Keep the sheet open until the final invoice and deposit release are confirmed.

Tips

  • Photograph each item at pickup so there is no argument about old scratches at return.
  • Pack cases the night before and count in the order of the rental order — counting at the counter takes twice as long.
  • Format cards and SSDs only after opening both backups yourself, even if the rental house asks you to format.
  • If you will miss the return time, tell the rental house in advance and note the extension terms.
  • When the final invoice arrives, compare it line by line with the missing / damage records before paying.

Common mistakes

  • Formatting a card without checking backups and losing original footage.
  • Not counting small parts such as lens caps and adapters, then getting a loss charge later.
  • Dropping gear off without the rental tech, so the return condition cannot be proven.
  • Not checking that the deposit or card hold was released, and finding out weeks later.
