Camera package rental checklist

Body, lenses, filters, focus and monitoring, batteries, media and support — with quantity and out/in check boxes.

The camera package rental checklist splits items into eight areas — body and accessories, lenses, filters and matte box, focus and monitoring, power and batteries, media and data, support, and expendables — each with quantity, out check, in check and notes. Lenses, filters and cards get one line each by focal length, density or number.

The Excel file includes Example and Guide sheets next to the blank form. How to fill it in

How to fill it in

What it is for

The camera package rental checklist matches every piece — body, lenses, filters, focus, monitoring, power, media and support — when the camera team picks up and returns the package. There are many small, expensive parts, and one missing piece can stop the shoot or bring a large charge. The 1st and 2nd AC usually fill it in together at the rental house.

When to use it

Fill in Out at the rental house on camera prep day and In on return day after wrap. With two cameras, keep one sheet each for A and B.

Field by field

  • Production

    What
    Production title
    How
Same as on the rental agreement; with two cameras, add A or B camera after it.
    Example
The Temperature Between Us (A camera)
  • Rental house / contact

    What
Where the package is rented and your contact
    How
The rental tech who checked the package with you at prep.
    Example
    ○○ Rentals · Eunho Choi
  • Out date / return due

    What
    Pickup date and return deadline
    How
Include the return time from the agreement.
    Example
    2026-11-09 to 2026-11-15 18:00
  • Out by / returned by / contact

    What
Who picked up and who returned
    How
Both names if they differ, plus a mobile the rental house can call.
    Example
    Gaon Moon (1st AC) · Jiwoo Han (2nd AC) · 010-0000-0000
  • Area

    What
Kit group (body, lenses, filters, focus, power, media, support, expendables)
    How
Group headings are pre-filled. Add extra items in the blank rows and note the group.
  • Item

    What
    Equipment name
    How
Keep the pre-filled names; for lines marked “list each”, split lenses, filters and cards one by one in Notes or blank rows.
    Example
Prime set (list each focal length)
  • Qty

    What
    How many rented
    How
As on the rental order. Count small parts such as caps and plates too.
    Example
    5
  • Out

    What
    Count and function at pickup
    How
Count, power up the body and lenses to check image, focus and sensor dust, then switch to ■.
    Example
    ■
  • In

    What
    Count and condition at return
    How
Count and check function with the rental tech, then ■. Format cards only after the backup is verified.
    Example
    ■
  • Notes

    What
    Focal lengths, densities, numbers, faults
    How
Focal length for lenses, density for filters, number for cards; note scratches or faults straight away.
    Example
    18 / 25 / 35 / 50 / 85 mm

Tips

  • At prep, mount and shoot with the body and every lens to check focus and image; swap anything faulty on the spot.
  • List lenses, ND filters and cards one by one rather than on a single line, so a missing piece shows at once.
  • Lens caps, body caps and quick-release plates disappear most often — count them at every wrap.
  • Write card numbers to match the roll numbers on the camera report so backup checks are easy.
  • Pack cases the day before return, and format cards only after the DIT confirms the backup.

Common mistakes

  • Accepting lenses at prep without powering up, then finding a focus fault on day one.
  • Writing the lens set as “1 set”, so at return nobody knows which cap is missing.
  • Returning formatted cards without checking the backup.
  • Not adding lenses or filters rented mid-shoot, then forgetting them at return.

Filled-in example

Filled in for the fictional drama “The Temperature Between Us”. All people, companies and numbers are made up; the Excel file has the same example on its Example sheet.

FAQ

How is this different from the equipment checklist?

The equipment checklist covers every department on one sheet. This one breaks the camera package down further so counts and condition match when it goes out and comes back.
