Lighting & grip rental checklist

Fixtures, stands, clamps, flags and nets, power and expendables — with quantity and out/in check boxes.

The lighting and grip rental checklist splits items into six areas — fixtures, stands, grip and clamps, shaping light, power and cable, and expendables (gel and tape) — each with quantity, out check, in check and notes. Loose parts such as grip heads and arms are counted separately.

The Excel file includes Example and Guide sheets next to the blank form. How to fill it in

How to fill it in

What it is for

The lighting & grip rental checklist matches counts when the lighting and grip departments pick up and return fixtures, stands, clamps, light-shaping tools, power and expendables. These kits have many loose parts of all sizes, so it makes you count group by group. The lighting and grip seconds usually fill it in and the production office uses it for settlement.

When to use it

Fill in Out at the rental house on pickup day and In on return day. For multi-day rentals, keep one sheet until return and add extra pickups in the blank rows with the date.

Field by field

  • Production

  • Out by / returned by / contact

    What
Who picked up and who returned

    How
Switch to ■ after counting with the rental tech. For expendables, write the amount left.

    What
    Sizes, wattage, shortages, damage
    How
Split sizes within one line here, and note shortages or damage straight away.
    Example
    600 W ×2 · 300 W ×2

Tips

  • Count loose parts — grip heads and arms, softbox grids — separately from the main unit; they are what go missing at return.
  • Write counts even for heavy, common items like sandbags and apple boxes; they mix easily with other shoots’ kit.
  • Record expendables received and left so the expendables charge can be checked.
  • On generator or high-output days, check residual-current breakers and cable mats with whoever runs power.
  • Keep the whole day’s gear on the equipment checklist and the lighting & grip detail here, and use both together.

Common mistakes

  • Counting C-stands but not grip heads and arms, then being charged for lost parts.
  • Putting all frame sizes (4×4, 6×6, 12×12) on one line, so you cannot tell which is short.
  • Ticking ■ for expendables at return, so nobody knows how much was used.
  • Not adding extra pickups to the sheet and forgetting them at return.

FAQ

How is this different from the equipment checklist?

The equipment checklist covers every department on one sheet. This one breaks lighting and grip gear down further so counts match when it goes out and comes back.
