Extras roster

Name, role, wardrobe (own or issued), arrival, start and wrap times, with tick boxes for release, minor and guardian consent.

An extras roster lists the background performers for one shooting day. The header holds production, day and date, location, report time and coordinator; each row has number, name, role (scenes), wardrobe (own or issued), arrival, start and wrap times, tick boxes for release, minor and guardian consent, contact and notes. Times are written as they happen to back up payment, and the release column is a tick only.

The Excel file includes Example and Guide sheets next to the blank form. How to fill it in

How to fill it in

What it is for

The extras roster records who came as background on a shooting day, which scenes they were in, and when they arrived and were released. The production office and ADs use it for placement and roll call, and it backs up agency payment and release checks.

When to use it

Fill in numbers, names and roles the day before from the agency list, then write arrival, start and wrap times as they happen on the day. Check it with the agency coordinator right after wrap and pass it on for payment.

Field by field

  • Shooting day / date

    What
Shooting day and date for this roster
    How
Use the same day number as the call sheet — one sheet per day.
    Example
    Day 12 · 2026-11-14
  • Location

    What
    Where the extras work
    How
If there is more than one, list them in the order of the move.
    Example
Cafe Ondo → ○○ back street
  • Report time / place

    What
    When and where extras gather
    How
Set it separately from the crew call and add an easy landmark (exit number, sign).
    Example
    06:30 · ○○ Station exit 2
  • Coordinator / agency

    What
    Set contact and recruiting agency
    How
The production office contact plus the agency and its coordinator’s number. Contact extras through this channel.

    Geonyoung Lee, PA · ○○ Extras 02-000-0000
  • No.

    What
    Roster number
    How
Already filled in. Calling people by number on set saves shouting names.
    Example
    1
  • Name

    What
    Extra’s name
    How
Match the agency list and check face and name on arrival so nobody stands in for someone else.
    Example

Write the role, then scene numbers in brackets. For continuity, keep the same person in the same role.
    Example
    Cafe customer (7, 23)
  • Wardrobe (own / issued)

    What
Whether they bring their own clothes or are issued wardrobe
    How
For own, give colours and style to the agency the day before. Check issued items back at wrap.
    Example
    Own
  • Arrived

    What
Time they reached the report point
    How
Write it as they arrive; note lateness in Notes.
    Example
    06:20
  • Start

    What
When they went from holding to set
    How
The time they were placed, not the first take.
    Example
    07:30
  • Wrap

    What
    When they were released
    How
The time you called their wrap. Write it per person if it differs — it backs up payment.
    Example
    15:40

    What
Whether a likeness release was signed
    How
Change to ■ when signed. Keep originals with the clearance log.
    Example
    ■
  • Minor

    What
Whether the extra is a minor
    How
Tick ■ if so, and check chaperoning and hour limits on the minor performer checklist.
    Example
    ■
  • Guardian consent

    What
    Guardian consent for a minor
    How
Tick ■ only when written consent is confirmed. Leave blank for adults.
    Example
    ■
  • Contact

    What
Contact for extras you recruited directly
    How
Leave blank for agency extras and go through the coordinator. Fill in only for direct recruits.
    Example
    010-0000-0000
  • Notes

    What
    Anything specific to that person
    How
Lateness, early release, props issued, extra scenes — anything that affects payment.
    Example
40 min late — agency told

Tips

  • Pre-fill numbers, names and roles from the agency list the day before; on the morning you only write arrival times.
  • Write arrival, start and wrap as they happen, never from memory later — they are the columns agencies check most.
  • For continuity, put the same person in the same spot and wardrobe and keep scene numbers in Role so you can find them next time.
  • Collect only the personal details the shoot needs and destroy the roster when the production’s retention period ends.
  • Pay and hour rules follow the agency contract and applicable law. Go through the roster with the agency coordinator before wrap so both sides agree.

Common mistakes

  • Wrapping without filling the release times, so the agency’s hours do not match the next day.
  • Collecting personal phone numbers for agency extras, piling up unnecessary personal data.
  • Ticking Minor but not checking guardian consent or hour limits separately.
  • Someone with no release ends up prominent in frame and has to be tracked down in the edit.

FAQ

Do I need everyone’s phone number?

Collect only what the shoot needs. If extras came through an agency, contact them via the agency and leave the column blank, and destroy the roster once the production’s retention period ends.

How do I handle minors?

Tick the minor and guardian consent boxes here, and check chaperoning and hour limits separately with the minor performer checklist; limits depend on local law and contracts.
