Rights availability grid

Territory × media grid with buyer and term in each cell, plus a deal list with exclusivity, amount and status.

The rights availability grid shows at a glance which territories and media have been sold. Rows are territories (Korea, North America, Europe, Asia, other) and columns are media (theatrical, SVOD, EST, TVOD, TV, airline, other), with buyer and term in each cell. A deal list below records buyer, territory, media, term, exclusivity, amount and status. General information only; the contracts govern.

The Excel file includes Example and Guide sheets next to the blank form. How to fill it in

How to fill it in

What it is for

A rights availability grid shows at a glance which territory and media rights have been sold, and to whom. Empty cells are rights still available, and overlapping deals in one cell stand out straight away, so it is the reference for sales meetings and contract reviews.

When to use it

Start it when the first sales talks begin, and update the grid and the deals list together whenever a contract is signed. Before a market or sales meeting, refresh the as-of date and flag cells whose term is ending soon.

Field by field

  • Title

    What
The work whose rights are tracked
    How
If versions sell separately (series, feature cut), use one sheet per version.
    Example
    The Temperature Between Us
  • Sales agent

    What
    Company handling international sales
    How
Write “direct” if you sell yourselves.
    Example
    ○○ Sales
  • Owner / contact

    What
    Who keeps this sheet
    How
    The production company’s rights contact.
    Example
    Hana Kim · 010-0000-0000
  • As of

    What
The date the sheet is accurate to
    How
Update it with every deal change — selling from an old sheet causes overlaps.
    Example
    2027-04-01
  • Territory

    What
    Where the rights were sold
    How
Use the listed territory rows in the grid and add rows if you need country-level detail. In the deals list, copy the contract’s territory wording.
    Example
    Korea
  • Theatrical

    Who bought cinema rights
    How
Keep cells to buyer and term only.
    Example

    How
Write “buyer · start–end” and add “excl.” if exclusive.
    Example
    ○○ Platform · 2027-03-01–2029-02-28 excl.
  • EST (buy)

    What
    Who bought download-to-own rights
    How
Often sold separately from SVOD, so keep its own cell.
    Example
    Available
  • TVOD (rent)

    What
    Who bought rental rights
    How
List separately even if the buyer matches EST when the contracts differ.
    Example
    Available
  • TV

    What
    Who bought broadcast rights
    How
If still negotiating, write “in talks — company”.
    Example
    △△ TV · in talks
  • Airline

    What
    Who bought in-flight rights
    How
These are usually sold by airline rather than territory; note routes in the deals list.
    Example
○○ Air · per contract term
  • Other

    What
    Rights outside the listed media
    How
Say what it is first, for example educational screenings.
    Example
    1 enquiry for educational screenings
  • Buyer

    What
    The contracting company
    How
Use the company name exactly as in the contract.
    Example
    ○○ Platform
  • Media

    What
    Media covered by the deal
    How
Use the grid’s media names, separated by commas.
    Example
    SVOD
  • Term (start / end)

    What
    How long the rights run
    How
Copy start and end dates from the contract. Put conditions such as “from release date” in notes.
    Example
    2027-03-01 – 2029-02-28
  • Exclusive

    What
    Whether the deal is exclusive
    How
Exclusive or non-exclusive. Two exclusives in one territory and medium is an overlap.
    Example
    Exclusive
  • Amount

    What
Where the deal value is recorded
    How
To keep the sheet shareable, write “see contract” and keep figures elsewhere if you prefer.
    Example
    See contract
  • Status

    What
    Where the deal stands
    How
Keep it short: in talks, signed, expired.
    Example
    Signed
  • Notes

    What
    Conditions, cautions, contract location
    How
Record conditions that affect other cells, such as holdbacks, as “see contract clause ○”.
    Example
    See contract clause 7

Tips

  • Keep grid cells short and put detailed terms in the deals list — the grid is for spotting gaps at a glance.
  • This sheet only organises information. The contract text governs scope, term, exclusivity and any conditions blocking other media; ask a professional when interpretation is unclear.
  • Flag cells whose term is ending soon so you do not miss renewal or resale windows.
  • Before signing a new deal, check the cell for an existing exclusive.
  • Check that the clearance scopes in the rights clearance log cover every territory and medium you sell.

Common mistakes

  • Updating the grid but not the deals list, so the two disagree.
  • Widening a contract’s territory or media wording by guesswork and nearly reselling rights already sold.
  • Writing a deal still in talks as if signed, and missing another buyer’s offer.
  • Not updating the as-of date, so an outdated sheet circulates at sales meetings.

FAQ

How do I spot overlaps?

Two exclusive deals in the same cell mean an overlap. Recheck the territory, media and term definitions in each contract, since media terms can be defined differently from deal to deal.
