Delivery checklist

Picture master, audio, subtitles, DCP, publicity materials, QC and archive — spec value vs. actual value for each item.

The delivery checklist is for copying the recipient’s delivery specification and matching it against what you deliver. Seven areas — picture master, audio (full mix, stems, M&E), subtitles, theatrical (DCP, KDM), publicity and extras, QC record and archive — each with spec value, actual value, done, owner and notes. Spec values are left blank because they differ by recipient.

The Excel file includes Example and Guide sheets next to the blank form. How to fill it in

How to fill it in

What it is for

A delivery checklist matches every value in the recipient’s delivery specification against the actual files before the finished programme goes to a broadcaster, platform or distributor. Post and production share one sheet showing what is done and what is left, so redeliveries are fewer.

When to use it

Copy the spec values in the day the specification arrives, then fill in actual values and the done column as mastering, subtitling and QC finish. Scan for empty done boxes one last time just before delivery.

Field by field

  • Production / episode / version

    What
    Exactly what is being delivered
    How
Include the episode range and version name (final v2, for example) so repeat deliveries are easy to tell apart.
    Example
The Temperature Between Us · Ep 1–8 · final v2
  • Recipient / contact

    What
The receiving company and the person handling it
    How
Add the team name so it is clear who to ask.
    Example
○○ Platform content operations · Seoyeon Park
  • Spec version / received on

    What
Which edition of the specification you worked to
    How
Specs change mid-project. Recording the version and date shows later which standard you matched.
    Example
    Delivery spec v3 · 2027-01-08
  • Delivery date / method (transfer / media)

    What
When and how the delivery goes
    How
Say whether it is a file transfer, physical media or both.
    Example
    2027-02-26 · file transfer + external drive
  • Area

    What
The group an item belongs to
    How
Pre-filled items sit under their group heading, so leave this blank for them. Fill it only when adding a row, for example “Extra request”.
    Example
    Extra request
  • Item

    What
    The deliverable element to check
    How
Keep the pre-filled items and add anything else the recipient asks for in the blank rows. Mark items that do not apply as “n/a” in notes.
    Example
    Resolution
  • Spec value

    What
The value the recipient’s spec requires
    How
Copy the spec wording as written and add the clause number. Values differ by recipient, so never guess.
    Example
    Spec clause 3.1 value
  • Actual value

    What
The value you checked in the delivery file
    How
Use file info or a measurement report. If it differs from the spec, agree it with the recipient before delivery.
    Example
    Matches spec (measurement report attached)
  • Done

    What
Whether spec and actual have been checked against each other
    How
Change it to ■ only after checking it yourself. Leave it blank if it is only “probably fine”.
    Example
    ■
  • Owner

    What
Who is responsible for the item
    How
Name the person who checked it; for an outside post house, add the company.
    Example
    Dain Choi (DI)
  • Notes

    What
    Agreements, open work, file locations
    How
If the recipient agreed an exception, record who agreed it and when.
    Example
Ep 6 fix to be rechecked

Tips

  • Fill in every spec value as soon as the spec arrives — knowing the values before post work starts avoids re-outputs.
  • The recipient’s own specification is the reference. Do not reuse values from this template or a past show, and get unclear values confirmed in writing by the recipient.
  • For measured items such as loudness or colour space, put the measurement report file name in notes so you can answer recipient QC questions straight away.
  • Use one sheet per recipient. Mixing recipients on one sheet makes it unclear whose standard each value is.
  • When QC notes come back, log timecode and fix under QC record and keep the done box empty until the fix has been rechecked.

Common mistakes

  • Copying spec values from a previous show, then redelivering because the recipient’s standard differs.
  • Working to an old spec after the recipient has issued a new version.
  • Ticking boxes without opening the files, and finding a missing textless version or subtitle drift after delivery.
  • Finishing the checklist with archive copies in only one place. List copy locations that are physically separate.

Filled-in example

Filled in for the fictional drama “The Temperature Between Us”. All people, companies and numbers are made up; the Excel file has the same example on its Example sheet.

FAQ

Why are the spec values blank?

Resolution, frame rate, loudness and similar values differ between broadcasters, platforms and distributors. Copy them from the specification you received and agree any difference before delivery.
